As a member of the Office of the Registrar, the Academic Records and Operations Manager is responsible for maintaining the integrity of student academic records, supporting the administrative functions of the Office of the Registrar, and serving as a trusted partner for handling inquiries from internal and external stakeholders related to academic records and
certifications. This role reports directly to the Registrar.
Job Description
Major areas of responsibility:
Academic Records
Management of Student Academic Records
- Process Advanced Placement (AP), International Baccalaureate (IB), and A-Level credits, language placement scores, and transfer credits for students.
- Process directives and waivers for academic requirements as requested by class deans, the Registrar, and department chairs or program directors.
- Process student academic record requests, including changes to grades, major/minor/concentration, advisor assignments, leaves of absence, withdrawals and readmissions.
- Maintain accurate records of students' degree and/or enrollment status through the National Student Clearinghouse.
Advisor Assignments
- Assign advisors to incoming first-year students based on academic interests.
- Working in close collaboration with the faculty advising lead, coordinate and process advisor assignments for all other students declaring or changing their major (including rising second-year students within their declared major).
Support Course Enrollment
- Assist the assistant registrar with Study Abroad course enrollment for students studying abroad.
- Assist class deans and students in troubleshooting enrollment issues.
- Review and resolve course roster adjustments submitted by faculty.
- Process course withdrawal requests.
- Coordinate with department chairs and program directors to conduct the senior audit and ensure all students are on track for graduation.
- Make adjustments to the student degree requirements as requested by departments.
- Communicate with students prior to their final semester regarding remaining degree requirements for graduation.
Transcript, Degree Verification, and Diplomas
- Process requests for paper and electronic transcripts.
- Prepare official enrollment and degree verifications upon request.
- Respond to degree and enrollment verification requests from the National Student Clearinghouse.
- Facilitate diploma replacement orders upon request.
Academic Operations
Management of Electronic Course Evaluation Form (eCEF) process
- Coordinate the administration of the eCEF process in close collaboration with the associate provost and ITS (ECF Team).
- Work closely with department administrative assistants, chairs, and SAC members to ensure timely communication, support, and delivery of required reports.
- Import courses, students, and faculty into Watermark each term to set up eCEF projects, ensuring accurate configuration and timeline management.
- Manage the distribution of eCEFs, troubleshoot issues as they arise, and escalate problems to the ECF Team when needed.
Academic Production and Service Calendars
- Work in close collaboration with the Registrar to create the annual academic production and services calendar for all office operations, and actively manage the projects in Asana
- Work with team members to ensure they update their assigned duties with accurate information, details, and dates.
- Proactively work with team members to drive progress on projects and ensure deadlines are met.
Uber for Business for Students Attending Worcester Consortium Schools
- Communicates with students each semester to determine transportation needs to and from Worcester consortium institutions.
- Assists students in setting up their accounts in Uber for Business
- Helps students troubleshoot issues within the Uber for Business app.
- Reconciles invoices each month and submit them for payment in Workday.
- Manages the program dashboard for the department Uber account.
Other Duties
- Perform other work-related duties and projects as assigned.
Minimum Qualifications:
- Bachelor degree from an accredited institution.
- Strong communication and customer service skills.
- Ability to learn and apply academic policies and procedures to support students in the academic journey.
- Capacity to utilize a variety of software and tools to work productively and efficiently
Preferred Qualifications:
- Experience with student information systems (i.e. PeopleSoft or Workday).
- Experience working in a higher education environment, registrar's office, or other academic office.
The salary range for the Academic Records and Operations Manager is $55,000-$59,000 commensurate with experience and qualifications. The College is committed to providing competitive market pay for its employees.
